Scope and local applicability
Applies across the UK to a private touring-caravan sale. Static/residential caravans, commercial use and trailers taken abroad need separate rules.
Identify the caravan, chassis or VIN, weight, ownership and registration evidence, damp and condition, systems, equipment, price, payment and handover. This guide is general documentation information for a lawful private transaction, not a conclusion about ownership, roadworthiness, tax, registration, consumer status or a particular dispute.
Identify the parties, item and source of each fact
Compare the names and contact details with appropriate independent evidence, then match every registration mark, VIN, frame, chassis, hull, engine, serial or certificate number to the physical item. Record whether a point was personally observed, stated by one party or supported by a document. Do not turn an unknown answer into a warranty merely to finish the form.
Check that the seller has authority to sell and resolve differences between the seller, registered keeper, apparent owner, lender or registry record before money or possession changes hands. Use photographs for useful identifiers and visible condition with appropriate permission, but do not upload unnecessary identity documents or sensitive information.
- Match identifiers to the physical item
- Separate observed, reported and documented facts
- List only records and accessories actually presented
Condition, description and private-seller boundary
Describe material condition, known defects, mileage or usage, modifications, missing parts and included equipment in plain language. A checklist, MOT entry, service record, grading label or seller statement does not replace the professional inspection, authentication, valuation, finance search or safety check appropriate to the item and its value.
Confirm that the transaction is genuinely private. A trader cannot remove mandatory consumer duties by describing a business sale as private. A private seller should still avoid false statements, concealment and inaccurate answers. The written agreement should preserve what was actually said and agreed, not attempt to erase rights that the applicable law does not allow the parties to exclude.
Price, cleared payment and handover
Write the final amount, currency, payment method, recipient and sequence of payment and handover. The recipient should verify cleared funds in the actual bank or provider account rather than relying on a screenshot, email, pending status or message. Stop if the payer, recipient or payment reference cannot be reconciled with the agreed parties.
At handover, compare the item and identifiers again, count keys and accessories, record the date, time, place and any remaining obligation, and give both parties the same signed version. Keep payment evidence, listing and messages, condition photographs, ownership or registry records and official confirmations together with the completed agreement.
Complete every official step separately
Not every caravan has a V5C, and Signeret does not perform the separate Trailer Registration, gas, electrical, site, export or insurance steps.
Use current instructions from the responsible authority for the precise nation, item and transaction. Great Britain and Northern Ireland can use different vehicle-administration channels, and Scotland and Northern Ireland are separate legal systems. If a prescribed form, witness, wet signature, registration, licence, certificate, export permission, tax, insurance or safety step applies, complete it exactly as required rather than treating the private PDF or electronic-signature evidence as a substitute.

Frequently asked questions
Does this guide apply in Northern Ireland?+
The documentation principles do, but DVA/nidirect procedures and some legal or administrative rules can differ. Follow the current Northern Ireland route for the exact item.
Does the Signeret agreement complete the official transfer?+
No. It records the private agreement. Registration, keeper notification, tax, insurance, registry and prescribed-form work stays separate.
What evidence should both parties retain?+
Keep the same signed PDF with payment, communications, condition, ownership or registry evidence and the confirmations from every required official process.
